AI Policy
AI Accounting Navigation is committed to developing and deploying AI tools in a responsible, ethical, and transparent manner. This policy provides guidelines for our use of AI across the organization.
Principles for AI Use
We have established the following core principles to guide our use of AI:
- Transparency – We will openly communicate our use of AI systems to clients and disclose when automated decision-making is being applied. We will provide explanations of AI decisions when possible.
- Fairness – We will proactively assess our AI for biases and ensure algorithms do not discriminate against legally protected groups. Our diversity team will review data sets and algorithms.
- Accountability – Our staff will be accountable for the ethical and proper use of AI. We will document our AI development processes and decisions.
- Compliance – Our AI use will comply with all relevant laws, regulations, and governance standards. We will stay current on AI compliance requirements.
- Risk Assessment – We will continuously evaluate AI risks including biases, errors, security issues, or liability concerns. Mitigation strategies will be developed.
- Reliable Performance – AI systems will be rigorously tested prior to deployment. Performance will be monitored to identify any degradation over time. User feedback will drive improvements.
- Human Oversight – AI is intended to assist and augment our staff, not replace them. Human oversight of AI decisions will be maintained for sensitive or high-risk use cases.
- Gradual Integration – AI will be gradually integrated into processes and continuously improved before full automation.
- Staff Training – All staff using or impacted by AI will be properly trained on AI principles, limitations, biases, and ethical use.
We will maintain a comprehensive inventory of all AI systems deployed across the firm. Staff must log details on an AI system’s purpose, algorithms, metrics, compliance, and other parameters. This inventory enables transparency and supports providing accurate information on our AI to auditors, regulators, courts, and other stakeholders.
Only AI solutions from our list of approved vendors may be utilized. This approved vendor list will be updated as necessary.
Compliance Monitoring
Our technology team will monitor the use of AI systems for compliance with this policy and other applicable regulations. Violations will result in appropriate disciplinary measures.
This policy will be reviewed annually and updated as needed to align with emerging risks, regulations, and best practices for ethical AI deployment.
